Back Office Administration

All German cases come together in Berlin: from the patrol through the keeper lookup to the incoming payment. You keep that flow in order, answer vehicle owners’ questions politely and with clear reasons, and prepare everything for accounting. Each new site adds volume – you make sure every file is still complete.

• Check new cases, create them in the system and keep an eye on deadlines
• Request keeper details from the KBA and handle contractual penalties, payments and reminders
• Explain to vehicle owners by email and phone why a contractual penalty is due
• Review objections and record the decision clearly in the file
• Prepare open items, invoices and receipts for accounting
• Maintain and improve letter templates and workflows for the German market

• Completed commercial vocational training (e.g. office management) or comparable experience
• Very good German, written and spoken; English a plus
• You work accurately and in a structured way, even when it gets busy
• You stay friendly and factual on the phone, even with upset callers
• At home in Office, CRM and ticketing tools
• Care with personal data under the GDPR
